They may wait, continue with approved role coverage, use an approved substitute, reschedule, or close the interview. The scheduling layer cannot make candidate-worthiness or client-policy judgments.
      • A required interviewer’s absence and a candidate’s absence can follow different decision owners.
      • An optional panelist cannot block the session unless client policy says otherwise.
      • The decision records authority and effective interview revision.

      Reuse current work and reschedule once

      If rescheduling is approved, keep bounded candidate and panel availability whose identity, scope, consent, zone, freshness, and expiry still fit. Refresh connected Google and Microsoft free/busy; ask unconnected people only for what is missing. Intersect required roles before optional preferences, bind approval to one new revision and slot, then issue an idempotent update or controlled cancel-and-rebook action. Reconcile uncertain provider responses before retrying.

Record the authorized outcome in the ATS boundary without copying private message content that the system does not need.
      • The candidate and client receive only the approved final communication.

      • Completion is one verified reschedule or closure receipt, not a no-show label in a spreadsheet.

    No-show is an observation, not a diagnosis

    A missing person may have the wrong link, wrong time zone, a provider update they never saw, a network problem, an emergency, a withdrawal, or another reason the scheduling system cannot know. The operating workflow should preserve that uncertainty instead of converting it into a candidate judgment.

    Record only what each source can prove: provider event state, response status, message delivery, joining-path configuration, approved attendance signal, participant reply, and human decision. That separation protects the candidate relationship and gives the client an accurate repair choice.

    Calendar response and interview attendance are different facts

    Google and Microsoft expose attendee response states such as accepted, declined, tentative, or not responded. Those fields matter, especially when a late decline arrives before the interview. They do not prove that an accepted attendee joined or that a person marked not responded is absent.

    What should a recruiting agency do when a candidate misses an interview?
